Security It is proposed that funds from the building maintenance fund to approved to add dead bolt locks or sliding bars to the following areas/doors for security: Deadbolt locks: Pastors Office – this will need to be an extended deadbolt due to the spacing of the doors. Clerk/Treasurers Office Sunday school rooms (keyed alike X 3) Sunday school storage (keyed alike X 2) Upstairs storage room Entry locks: main sanctuary, stairs leading from the sanctuary to the lower level (next to the sound system), bistro, center door on the Sunday school room level (keyed alike X 4)
Some way to secure doors of the bistro from the sanctuary side so that no person or persons can open them and go into the sanctuary, but, that they can be opened for use as overflow if necessary. Some way to secure the additional (non-entry) door to the clerk/treasurers office so that they can’t be opened – slides or blocks? Cost for dead bolt locks are ~ $175.00 at Home Depot. Additional cost would more than likely be incurred for keying alike. No cost has been determined to secure the bistro doors and options will need to be investigated. There will be no labor cost incurred to install the locks since this will be done by the clerk and the treasurer. The Sunday school director’s office does not need a deadbolt installed since the existing lockset is lockable and a key is available to duplicate. A lock box will be installed in the bistro (the lock box is already available and won’t need to be purchased), with 1 additional key for each area. Authorized key access to the lock box will be only by the pastor, clerk, treasurer or Sunday school director. If access is needed to any of the above listed areas, and a representative of the listed areas has not been issued a key, or an individual needs access to an area and doesn’t have a key, they are required to contact one of the authorized individuals (pastor, clerk, treasurer or Sunday school director) to be issued use of a key temporarily. All individuals who are issued a key or keys will be required to sign a form stating that they will not duplicate or loan their key(s) to another individual for use, even on a temporary basis. Temporarily key issue will require a sign in and sign out of the key by both the authorized personnel who issues the key and the recipient of the key. It is proposed that we adopt a policy that doesn’t allow changes to the building/systems without an agreement or vote of the body regarding the changes. In order to make changes an individual would have to present the desired change to the body during a business meeting. In the event of an extended period of time between business meetings (4 or more weeks), they may request a special business meeting with two weeks notification presented in writing to the clerk. They will need to provide a scope of the changes, a proposed start date, completion date, who will be responsible for doing the work/making the changes, and how this will be funded. If funded by the church then a bill of materials and cost will need to be submitted at time of presentation so that this can be voted on. If funded by the individual presenting the proposal, then they are responsible for the entire cost and may submit approved receipts to the treasurer to be added to their “Giving Record”. They may not submit receipts to the treasurer for financial/monetary reimbursement. Should funds run out or cost over run occur (if funded by a church designated fund) then the project will be stopped until more funds can be acquired either by the individual who requested the change, additional individuals who volunteer to fund the additional cost, or via proposed and approved fund raising. |
